Call for a General Coordinator / Office Head


Consultancy service contract – part-time – fee-based (as long as budget is available) – gross daily rate of 90€

If funds are externally raised by the post holder, some resources will be used to strengthen the position.

The position holder will work remotely from home or a private office.

The Office Head/General Coordinator will be responsible for cS administration, coordination and development through a variety of managerial, communication coordination and fundraising activities. 

He/She will be accountable to the Board and supervised by the Chair of the Board.

Main tasks & responsibilities

Administration and finance tasks: 

  • Develop adequate management tools and processes (online platforms, etc.)
  • Google Drive folders management, archiving & back-ups
  • Monitoring of timely payments to providers (accountant, website hosting, IT support, publishing, etc.)
  • Budget and financial monitoring (invoices, expenditures, yearly accounting)
  • Corporate calendar management in coordination with the Special Assistant to the Chair
  • Support Board management (Board meetings and internal board procedures + archiving, assistance to Board Chair)


Human Resources management & coordination:

  • Manage pro-bono collaborators, interns and Erasmus+ partnerships recruitment & MoUs
  • Manage consultancy contracts (including payments)
  • Drafting emails on the organisation’s development (updates, meetups, activity clusters, etc.)


External communication management: 

  • Management of the corporate email account in coordination with the Special Assistant to the Chair
  • Coordination of the newsletter production in liaison with Communications colleagues
  • Administrative support for the management and development of the “culture Solutions Friends network” in coordination with the Communications and Training & Know-How Sharing teams


Monitoring, background research & networking: 

  • Management of cS databases and directories
  • Search for contact details to feed in the contacts database and the Who’s who 
  • Background research on potential partner organisations
  • Background research and information to fill-in culture Solutions’ external events calendar: gathering events dates, getting information on planning calendars and other foreseen events organised by partners


Fundraising Intelligence and Business Development

  • Administrative support to Board members in their fundraising activities



  • Ability to be proactive, autonomous and solution-oriented in the job
  • Flexible schedule and availability in the evening, when post of Internal meetings take place
  • At least 5 years of experience in organisations’ or project management
  • Fluency in French and English
  • Some experience in the cultural sector and in EU affairs is an advantage
  • Readiness to travel once or twice a year in the EU
  • Ability, motivation and interest to learn about French associations’ management processes and methods and about the field of EU international cultural relations
